Acuity Scheduling is an online scheduling tool.
If you want to respond to appointment entries in Quentn, you must connect Acuity Scheduling and Quentn using Zapier. For this you will at least need a Quentn Basic account.
Step 1: Create contact field in Quentn with the type "Date"
If you want to transfer data to Quentn with or without the time, e.g. to update opportunities in the sales stage and to keep track of appointments, you must first have a contact field with the type date. Proceed as follows:
- In the menu, click on Contacts -> Contact Fields, then on Add new field.
- Give the field a title. You can make notes under Description.
- Determine the field type "Date", and then determine whether it is a date with or without time.
- Click on "Next" to save your field.
Step 2: Create Zap and configure trigger
Log into the Zapier website and create a new Zap. Select Acuity Scheduling as a trigger and choose which event you wish to react to. Then connect your Acuity Scheduling account and follow the instructions in Zapier to configure the trigger.
Step 3: Create or update contact
Select Quentn as the action app and choose the action “Create or update contact”.
Step 4: Connect Zap with Quentn
Now connect Quentn with Zapier under "Connect account". A new window will open when clicked on, where you can connect your Zap account with your Quentn account. You need to inform Zapier of two values: the API URL and the API key. You can find both in your Quentn account under My Account -> API Info -> Zapier API. (Instruction here) Copy both values into the respective fields in Zapier and follow the further instructions.
Step 5: Select fields
After you have selected your Quentn host, you'll come to "Set up Quentn contact". You'll be able to transfer the data from the appointment tool here. However, two things are important: Primary email and your recently created Contact field with the type Date.
Click on "Continue" and "Finish", name your Zap and then publish it.

Step 5: Create tag (optional)
Go to Quentn and create a new tag. You can do this by clicking on Contact tags under the menu item. Click on the button "Add tag" and name it, e.g. with "Appointment consultation".
Step 6: Select fields
Now go back to Zapier. After you have selected your host, you will come to "Set up Quentn contact". Here you can transfer the data from the appointment tool. Two things are important here: Primary email and Add tags.
Click on "Primary email" which is to the right of the list icon, and select the email address.
In the field "Add tags", select the tag which you have just created.
Click on "Continue" and "Finish", name your Zap and publish it.
Step 7: Create a campaign in Quentn
Create a new campaign in Quentn and drag the event element "Tag changed" to the Campaign Builder. After double-clicking on the element, enter the new tag "Appointment consultation" (or the name of the tag which you have just created). The campaign will start for all those who receive the new tag.
Now connect the email confirmation element with the previous element so your new contacts can complete the double opt-in process. Contacts who are already in your database will automatically skip the element, so they do not need to confirm their email again.
You can then start a sequence. Of course, the campaign will only work once you have published it.
