You can connect Quentn and Zoom via Zapier (or a comparable interface provider like make (formerly integromat), Pabbly or Integrately) if you have a Basic account or higher.
In this article, we will show you the following use case: contacts who have registered for a meeting are directed to Quentn in a campaign and receive reminder emails.
Setting up the meeting in Zoom
- Log in to your Zoom account and create a new meeting.
- Don't forget to check the "Registration required" box.
- As soon as you have saved, you will be shown the registration link from Zoom. Click on it and register yourself (we need the test contact).
Create contact field for "Join link" in Quentn
- Click on "Contacts" and "Contact fields".
- Create a contact field of the type "URL".
- Name it (e.g. "Meeting link")
Preparing the campaign in Quentn
- Start the campaign with the event element "Tag(s) changed".
- Determine the tag (e.g. "Registration meeting").
- Then connect the confirmation email and configure it.
- Now connect the sequence. In this sequence, reminder emails are to be sent to the participants, including a link to Zoom.
- In the sequence, please use date timers, which you connect in parallel to the start element. This way, participants will only receive emails that are relevant to them - depending on when they registered.
- Write your mails. To send the link directly to the participants in Zoom, please click on "Special link" and search for the "Meeting link".
- Click on it so that it is inserted in the mail. You can also highlight words (e.g. "Here you can go directly to the zoom") and then use the special link.
- Save the campaign and publish it.
- Your campaign should look like this:
Create a Zap in Zapier
- Open another tab, log in to your Zapier account and click on "+Create" and "Zaps" to create a new Zap.
Set up triggers
- Now click on "Trigger" and search for Zoom
- On the right-hand side, select "New Meeting Registrant" and then click on "Continue".
- Now select your Zoom account. You may need to connect it first.
- Under "Upcoming Event", select the meeting we have just created.
- Click on "Continue" and "Test Trigger". Your details will then be displayed (you have already registered).
Set up action
- Select Quentn.
- Select "Create or Update Contact" as the event
- Choose your Quentn account. You can find out how to connect it here.
- Now we assign the fields: First name, last name and e-mail are clear. Otherwise you have to select the tag you just created under "Add Tags" ("Registration Meeting")
- Under "Meeting link" (or the name you have given to your contact field) you assign the "Join URL".
- Test the Zap. Then go back to the Quentn tab, to the campaign, refresh the browser and click on "Status mode". The test contact should now be in the campaign. If this is the case, you can publish the Zap in Zapier ("Publish").
